  • Overview

    Provides administrative clerical support to a Director and/or Physician (non-division/department head) and their respective staff. 


    1. Transcription of pathology reports into the laboratory information system.
    2. Accessioning and registration of anatomic pathology specimens.
    3. Prepares and compose routine correspondence, memoranda, reports, etc. 
    4. Screens telephone calls and visitors, and resolves routine and some complex inquires. 
    5. Schedules and maintains calendars, meeting and travel itineraries.
    6. Prepares and distributes minutes of meetings.
    7. Prepares presentations, flyers, tables, flowcharts, and other tools of communication.
    8. Coordinates hiring process as liaison between department and Human Resources to insure timely response to workforce needs.  This includes the following: coordinate eligible candidate interviews with appropriate, laboratory management, maintains eligible laboratory resume file, maintains hiring process within established timeframes and alert laboratory management of process time outliers for appropriate follow-up with Human Resources, coordinates new employee orientation dates.
    9. Responsible for the printing, filing and distribution of selected documents. Responsible for departmental document control activities. Maintains updated electronic files of departmental policies and procedures. Maintains and assist managers with updated laboratory electronic files.
    10. Coordinates payment of invoices and expense reports. 
    11. Coordinates new employee onboarding and communication of new employee announcements.
    12. Performs job functions adhering to service principles with customer service focus of innovation, service excellence and teamwork to provide the highest quality care and service to our patients, families, co-workers and others.


    1. High school diploma or equivalent required. Additional post-high school education/training in secretarial, general business preferred.
    2. Two years general office or secretarial experience required.  Hospital or physician office experience preferred. 
    3. Experience working with Microsoft applications such as Microsoft Word, Excel, and PowerPoint with the ability to operate standard office equipment (examples:  photocopy machine, facsimile machine, calculator, etc.).  Ability to type at least 40 wpm is preferred.
