    General Summary of Position Responsibility:          

     

    Primarily provides scheduling office support coordinating patient appointments for the Department of Medical Imaging from the referring clinicians as prescribed. This support includes all modalities within the Department of Medical Imaging as well as other divisions to ensure the best possible care options are coordinated.

    Responsibilities

    Essential Job Functions:

     

    1. Primary function is to answer all incoming calls from the ACD line according to the department standards. Verify the patient insurance information for authorized approval prior to scheduling. Schedule all imaging appointments in Epic for patients, referring clinicians and staff.
    2. Answers and directs all incoming phone calls to the specific modality and to appropriate staff. Responds to hospital and department related questions as appropriate.
    3. Record all communication utilizing the Scheduler Staff Call encounter within Epic.
    4. Prepares documents for point of care scanning with appropriate labels.
    5. Instructs patients about exam preparations, provides address and directions to the location the procedures will take place. Communicate expectations to ensure a positive patient experience.
    6. Work the scheduled order pane in EPIC by the anticipated expected date to ensure the procedures are performed as the physician has requested.
    7. May make a reminder phone call to confirm appointments prior to scheduled date.
    8. Supports educating new team members to work processes and other departments as needed.
    9. Maintains and orders office supplies.
    10. Participates in template design changes and ensures all procedures are mapped to resources as designed. Constantly works to improve the efficiencies of the scheduling process.
    11. Performs job functions adhering to service principles with customer service focus of innovation, service excellence and teamwork to provide the highest quality care and service to our patients, families, co-workers and others

    Qualifications

    Knowledge, Skills and Abilities:

     

    1. High school diploma or equivalent required.
    2. At least one year of scheduling experience required. Hospital or physician office experience preferred. Scheduling within an EMR, Epic experience preferred.
    3. Ability to operate standard office equipment (examples: photocopy machine, facsimile machine) Medical terminology preferred.
    4. Must have excellent organizational and prioritization skills to effectively manage priorities of multiple team members.
    5. Ability to provide high level of quality customer service to team members, employees, management staff, in addition to external customers.
    6. Bilingual Spanish preferred, but not required.
