Overview

The Division Administrator for the Department of Pediatric Anesthesia provides leadership and support to the Department of Anesthesia, including Faculty, CRNAs, APNs, and has direct oversight over the Administrative Assistants. The position is responsible for the operations of the department, while also driving best practices to achieve strategic initiatives. The Division Administrator will work with other Department Leaders in creating an environment that engages the team and allows for the attainment of department and organizational goals.

Responsibilities

  1. Has direct supervision of the administrative staff and research coordinator, and manages the day-to-day operations of the Department office
    1. Ensures effective scheduling and staffing of staff.
    2. Oversees payroll/time reporting process ensuring proper pay for staff, compliance with policies, and approval of overtime and incentive programs.
    3. Ensures high standards of performance by proactively addressing performance issues, including coaching and disciplinary conversations and by feedback provided through the performance appraisal process
  2. Serves as a resource and supports the Department Providers, APN and CRNA Managers, and staff, and as a point person for contacts outside the department.
  3. Partners with procedural service leaders to enhance OR efficiency and utilization, while optimizing the Department of Anesthesia staffing model.
  4. Partners with other Department Managers for development and support of ambulatory clinics such as the Pain Clinic and Virtual Pre-Op Clinic.
  5. Supports Medical Directors with their assigned duties, including efforts to improve quality and patient safety (PIPS)
  6. Initiates operational projects and safety and quality improvement initiatives for the Department of Pediatric Anesthesia
  7. Participates in projects, initiatives, and committees within the department and hospital including PAOMC
  8. Promotes a customer service culture through appropriate education and management of Department office staff.
  9. Manages position control and labor related pursuits, including the contracting and credentialing of attendings.
  10. Assists in the recruitment and selection of high quality staff and faculty. Creates a work environment that attracts, retains and engages the highest quality staff and faculty.
  11. Pursues professional development opportunities and networks to enhance own professional knowledge and development.

Research/ Academic

  1. Supports research and academic operations and growth in partnership with the Northwestern Fienberg School of Medicine.
  2. Serves as a point of contact for clinical operations leadership to manage clinic issues, including space, scheduling management and customer service concerns.

Education

  1. Works in tandem with the Program Coordinator Manager to support Program Directors, Program Coordinator, and the ACGME Program to ensure a robust Residency and Fellowships in the Department of Pediatric Anesthesia

Financials

  1. Works with Department Chair, Executive Director, and Director of Medical Group Finances in budget development and monthly monitoring of volumes and financials. Supports the redesign of the anesthesiologist attending compensation plan.
  2. Manages daily financial operations to ensure optimal utilization and reconciliation of operational funds, special purpose accounts, philanthropic dollars, endowed chair monies and grant funds.
  3. Monitors and approves expenditures including supply orders and expense reimbursements
  4. Other job functions as assigned.

Qualifications

  1. Bachelor’s Degree in a relevant field required. Master’s Degree preferred
  2. Possesses a broad knowledge of issues, trends, practices, and systems related to pediatric health care delivery acquired through a minimum of 3-5 years’ experience in a healthcare environment.    
  3. Experience working in partnership with health care professionals in leadership roles.
  4. Demonstrates excellent leadership skills, ability to work with a team; excellent written and verbal communication skills; excellent organizational skills; entry level understanding of budgeting and monitoring/analyzing variance from budget.
  5. Demonstrated ability to provide leadership in a collaborative and facilitative style.
  6. Previous management experience preferred
  7. Experience in diverse healthcare contact center preferred
